OVM1 - 24H CHECK-IN & KEYHOLDING FACILITIES - T&C
Overview: Provision of key-holding facility, including secure key storage, management and distribution of keys, provision of directions to property.
1. 'The Owner' has contracted with 'OV' for 'OV' to provide a key holding service, and 'the Owner' understands that this is the minimum 'OV' subscription package before any further Management Services Packages can be contracted.
2. Included in the key holding membership package is the secure holding of any and all keys provided to 'OV' by 'the Owner' or the representative of 'the Owner' for 'the Property' outlined above.
3. The keys will be given a unique code number and tagged and held in a locked facility. Details of 'the Owner', 'the Property' and the keys will be entered into the 'OV' key management system software. Directions to 'the Property' from the 'OV' office in Protaras shall be stored on the system for future reference.
4. Upon written instructions from 'the Owner', 'OV' shall provide the keys and directions to the Property to whichever third party 'the Owner' designates. Keys and directions can be collected by the third party during normal working hours of the 'OV' office. The third party will be obliged to show some form of identification, supply OV with a contact number, sign a form indicating that they have received the keys and the date when they are due to be returned.
5. If any key collection has to be made outside of normal office hours, then 'the Owner' may request that the keys (but not the directions, for security purposes) may be placed by 'OV' in an 'out of hours' key safe located outside the 'OV'S' office, for which 'the Owner' will be given a key safe code number to communicate to the intended recipient of the keys. In this case 'the Owner' is responsible for ensuring that the recipient receives directions to 'the Property'.
6. The third party recipient will be provided with instructions on how to return the keys to the 'OV' office by the owner. The Owner accepts that 'OV' cannot be held in any way liable for any keys collected from the 'out of hours' key safe in this way as no identity check nor signature of the third party can be obtained.
7. After use of the keys the third party shall return the keys to the 'OV' office during normal office hours and obtain a receipt for their return.
8. In the event that the keys are returned out of office hours the keys may be placed in the safe box outside of the 'OV' office. 'The Owner' understands that this is not a secure facility and accepts that 'OV' cannot be held in any way liable for any keys returned in this way.
9. It is the responsibility of 'the Owner' to ensure that any third party that receives the keys to 'the Property' shall return the keys to 'OV' after use.
10. 'The Owner' shall provide two sets of all keys and remote control units pertaining to 'the Property'. Should two sets of keys not be available then 'OV' shall obtain copies and charge 'the Owner' accordingly. (for rental services 5 sets of keys in total are required)
11. 'OV' can accept no liability for any loss or damage to 'the Property' or its contents, howsoever caused whilst keys are in the possession of 'OV'.
12. 'OV' recommends that for additional security purposes 'the Owner' fits new main door locks upon subscribing to the 'OV' Key holding Services Package for security reasons. 'OV' can provide 'the Owner' with an estimate of cost for the supply and installation of a new standard lock.
